If you work in any type of business, I
am sure you have a tray system with labels that tell you what type
of documents are to be sorted in each tray. You also probably have a
tray labeled with an employee name or a specific department. And if
a particular employee or department is across town or in another
state or even country, you probably only place packages in that
folder inside a FedEx or UPS envelope....
Of course, you could create an email
and send that document across town or across the world as an
attachment...and they could edit the document and send it back to
you. In fact, that is exactly what happens to many, many documents
every minute of every day. But what if you had a "tray" in the
"clouds" that could be easily accessed by anyone in your company (or
family) and everyone could access, view and edit the document in
real time? I know this doesn't sound very significant until you
think about some of the specific applications...
Suppose you have a price list for items
whose selling price is very unstable. You could place an Excel
spreadsheet in the dropbox which contains the most recent pricing
and update it as often as necessary. All your remote locations would
view this document each time they make a sale and it would always
contain the most recent prices.
Suppose you have sales staff in 22
different states. You could install the dropbox utility on all their
computers and simply drag and drop any documents you want into any
or all of those boxes. Within minutes, each of your sales staff will
have access to the documents. And, if desirable, they could open the
document, enter their information and move it to another folder in
the dropbox which you could retrieve (i.e. timesheets, new orders,
etc.).
And if you have a staff of sales
persons in the field and they are constantly asking for the most
current price list, this program is ideal for you! Simply copy the
most recent price or cut sheet to the dropbox folder and they will
see it as soon as they log onto the internet! Its just like having a
file tray in your office labeled "Price Lists" to which all your
sales staff throughout the world have immediate access!!
What if you simply want to share some
pictures with your family? Simply open a free account (enter your
name and email address only), then have all your family members
download the small applet to their computer using your username and
password, and a dropbox folder will be created on each of their
computers. Any pictures (or any other files, for that matter) will
magically appear in their dropbox folder as soon as you drop them
into yours...and vice versa!!!
What if you simply want to send
files from your office computer to your home pc (or vice versa)? Not
a problem!
And you can create an infinite number
of sub-folders within the dropbox folder. So you could create a
sub-folder called "Mike's Wedding" and it would automatically appear
in everyone's dropbox within minutes! You could then call Mom and
tell her to look at the folder labeled "Mike's Wedding".
